Terms and Conditions
These Booking Conditions form the basis of your contract with us so please read them carefully. Nothing in these Booking Conditions affects your normal statutory rights.
Contract
The contract is for a short-term holiday rental of the property specified on the booking form made between the client and the owners of Wood End Cottage ("the owners"), Karen and Robert Gledhill, binding from such time that booking is made and inclusive of all the following conditions.
By making a booking the client contracts on behalf of himself/herself and all those in his/her party and represents that he/she has the authority to accept these conditions on behalf of and binding upon all guests in his/her party.
Bookings are accepted on the understanding that the property is taken for holiday purposes only and that, excepting babies under 2 years, the number of people in the property is limited to that entered on the booking form.
The client and any friends or family of the client visiting the property while the client is staying there must adhere to the conditions of the contract, including the rules and procedures contained in the information folder provided in the property. If inviting friends to visit the client must first seek the permission of the owners. The client will not permit friends to stay overnight in the property or in tents / caravans on its grounds.
Once the completed Booking Form and the Initial Deposit have been received and accepted by us, we will issue you with our written confirmation. The contract between us will only be formed when we send you our written confirmation and is subject to these terms and conditions. We reserve the right to refuse any booking prior to the issue of our written confirmation. If we do this we will promptly refund any money you have paid to us.
You should carefully check the details of our written confirmation and inform us immediately of any errors or omissions.
Payment
A deposit of 25% of the cost is payable on booking if the booking is made more than sixty (60) days before the start of the rental. Bookings are provisional until a deposit is received and are held for 48 hours. The balance shall be payable sixty (60) days before the commencement of the rental. Non-payment of the balance of the rent by 5pm on the due date may be construed as a cancellation of the contract by the client.
For bookings made within 60 days of the start of the rental, the full amount is payable at time of booking.
Cancellations
Any cancellation made by the client for whatever reason shall be in writing and addressed to the address on the website. Cancellations will only take effect once written notice is received.
Cancellations made within fourteen (14) days of booking
Cancellations that are made within fourteen (14) days of booking are subject to a 5% cancellation fee or £50, whichever is greater.
Cancellations that are made more than sixty (60) days prior to the start of the rental
Where cancellations are made after fourteen (14) days of booking and more than sixty (60) days prior to the start of the rental, 50% of payments received will be refunded.
Cancellations made less than sixty (60) days prior to the start of the rental
Excepting cancellations that are made within fourteen (14) days of booking, for cancellations made less than sixty (60) days prior to the start of the rental, the total cost is payable. However, on receipt of the notice of cancellation in writing the owners will seek to re-let the property for the period of booking. If a re-letting is achieved, the owners will refund money already paid by the client, less rent for any part of the period which was not able to be re-let, and less the deposit.
Late arrival or early departure does not warrant any refund of rent.
The client is strongly advised to take out holiday cancellation insurance.
Cancellations by us
We would not expect to have to make any changes to your booking, but sometimes problems occur and we do have to make alterations or, very occasionally cancel bookings.
If this does happen, we will contact you as soon as is reasonably practical and inform you of the cancellation or the change to your booking and, if it is necessary to cancel your booking, we will refund the balance of any money you have paid us.
Falsified Bookings
Any booking obtained under false pretence will be subject to forfeiture of advance payment, deposit and/or rental money, and the party will not be permitted to check in.
Period of Hire
Rentals commence at 3.00 pm on the day of arrival and terminate at 10.00am on the day of departure.
The arrival time should be arranged in advance. The client should arrange an estimated time with the owners and inform them of any changes to that time to ensure somebody is available to show the client into the property.
Should clients require pick up at local stations the owners should be informed of train / bus times or flight numbers as appropriate seven (7) days prior to travel. Clients should inform the owners of special requirements (number of bags, bicycles etc) to ensure appropriate transport is arranged. Any alterations in travel arrangements should be communicated to the owners immediately.

Right of Entry
Whilst respecting the reasonable privacy of the client, the owners of Wood End Cottage reserve the right to access all properties at all times, if necessary, for repairs and emergencies.

Care of the Property
The client shall take all reasonable and proper care of the property and its furniture, pictures, crockery, cookware, fittings and effects, in or around the property/grounds, and leave them in the same state of repair, condition, cleanliness and tidiness as at the commencement of the rental period.
The client must agree not to cause any damage to the walls, doors or windows of the property nor to do anything that may be reasonably considered to cause a nuisance or annoyance to us or to any other occupier of adjoining or neighbouring properties.

Housekeeping
Daily maid service is not provided. We do not permit towels or linens to be taken from the property.
Clients must not flush any improper material (feminine products, nappies, prophylactics etc) down the toilet. If it is found that such material has been flushed and clogs the waste system, you could be charged damages of up to two hundred pounds (£200).

Breakages or Damage
The client is required to inform the owner of any damage or breakage in or around the property/grounds promptly so that it can be repaired and/or replaced for the next client.
The client is bound to reimburse the owners for replacement, repair or extra cleaning costs where reasonably demanded by the owners for damage caused by the client.
The client is required to take out appropriate insurance.

Rules and Procedures
Clients are required to observe the rules and familiarise themselves with the procedures contained in the information folder provided in the property.

Fireplace
Clients should familiarise themselves with the fire safety procedures displayed in the cottage and should observe the safety instructions provided in the guest information before using the open fire.

Smoking
In accordance with the law, smoking is not permitted anywhere inside the holiday accommodation. Clients are not permitted to smoke near to, or inside, stables/barns because of fire risk. All cigarette/cigar butts must be disposed of responsibly in outside bins provided. Your security deposit is at risk if, in our opinion, tobacco products or e-cigarettes are consumed inside the house.

Pets
A maximum of one (1) dog is permitted in Wood End Cottage subject to prior arrangement with the owners and the following conditions.

Dogs must be pre-paid (£25 per booking). Dogs are not permitted upstairs or on the furniture. Dogs must not be left unattended in the cottage at any time.
When out of the cottage the dog must be on a lead under the control of a responsible adult at all times. Dogs must not be allowed to chase our cats or any livestock, wild or domestic. The client must clear up after the dog promptly, whether in the garden or out on a lead, on the grounds of Wood End Farm, and dispose of bagged waste in an exterior bin.
The client is responsible for any damage howsoever caused by their dog and liable to reimburse the owner for any replacement or repair thereby necessitated. The owners reserve the right to terminate the contract if the behaviour of the client's dog is considered unacceptable.

Written exceptions
Any exceptions to the above mentioned policies must be approved in writing in advance.

Complaints
Every effort has been made to ensure that you have an enjoyable and memorable holiday. If however, you have any cause for complaint it is important that remedial action is taken as soon as possible.

It is essential that you contact us if any problem arises so that it can be speedily resolved. It is often extremely difficult (and sometimes impossible) to resolve difficulties properly unless we are promptly notified. Discussion of any criticisms with us whilst you are in residence will usually enable shortcomings to be rectified straightaway. In particular, complaints of a transient nature (for example, regarding preparation or heating of the Property) cannot possibly be investigated unless registered whilst you are in residence.
If any complaint cannot be resolved during your holiday, you must write to us with full details within 28 days of the end of it.

Liability
Our maximum liability for losses you suffer as a result of us acting in breach of these terms and conditions is strictly limited to £100 and any losses which are a foreseeable consequence of us breaking the agreement. Losses are foreseeable where they could be contemplated by you and us at the time your order is accepted by us.

The client should ensure that each member of his/her party is covered by comprehensive travel insurance (including cancellation, flight delays, loss and damage to baggage and other property) and health insurance (including evacuation and repatriation coverage).
The owners of Wood End Cottage are not liable for any loss or damage to any client's property or any property belonging to a member of the client's party or injury, illness or death of any pet, howsoever caused.

The client or members of his/her party cannot hold the owners of Wood End Cottage liable for any personal injury/death howsoever sustained where the owners and/or their employees have used reasonable skill and care; and/or where caused by the fault of the person(s) affected or any member(s) of their party (including inadequate supervision of children/pets); and/or where caused by the fault of a third party, and/or where caused by an event that could not have been reasonably foreseen or avoided.

Law
The contract between you and us is governed by the law of England and Wales and we both agree that any dispute, matter or other issue which arises between us will be dealt with by the Courts of England and Wales.
